1.0 Introduction
At some stage or the other, every emerging business once in a while will have to register themselves for Provident Fund. Now any employers or establishment can get provident fund code within hours just sitting at one’s home or office. All process is online, now you are no longer required to track physical files and pursue official staff for registration. Hence we made an effort to guide you that will simplify the entire process.
Here’s all you need to know while registering for PF:
2.0 Provident Fund Scheme
Provident Fund retirement benefits scheme that is available to all salaried employees in the company, Where some percentage of mandatory contribution towards the PF scheme is made by both the employees and employer. This scheme is maintained and administered by EPFO which is governed by the Ministry of Labor and employment.
3.0 Complete PF registration procedure in India?
The registration process is divided is into three categories for which instructions given need to follow separately and we will further discuss all, step by step:
1. Employer Registration under PF
First of all, the employer’s registration must be obtained to start the complete PF registration procedure. Employers who are applying for PF registration for the first time it is recommended to hire a professional for complete PF registration to avoid the rejections.
To start the employer registration, one needs to visit the official website of the government and fill up all complete details of the employer. The following are the requirement for employer registration under PF:
- Employer’s valid PAN
- Employer’s mobile number and e-mail id to verify link and for PIN generation
- Employer’s Class -2 DSC
- Need to create your own unique user id and password
2. DSC Registration on PF portal
The second step after employer’s registration which you will be required to follow to get your DSC registered under the EFPO portal for which following steps will follow:
- Go to employer’s registration homepage in UAN portal
- Enter employer’s user id and password
- Select the option REGISTER CERTIFICATE
- Enter employer’s details
- Edit the employer’s name and match with the registered DSC in case if it is different
- Select the type of DSC on USB token button, a pop will show click the Run.
- Insert USB port properly and select USB token certificate appears on the screen.
- Select the certificate in the following screen
- Enter DSC pin details and press ok.
- The message will appear about the successful completion of the certificate.
- Details of active registered of DSC will appear on the screen.
Note: DSC once registered with any user will not be permitted to be used by any other user.
3. Establishment Registration –for generation of employment code.
The third step which is being followed by employer and DSC registration is the registration of establishment for generation of establishment code. It is highly recommended to read and follow instructions carefully because once application is submitted data cannot be edited.
Which establishments are eligible for registration?
- Which is engaged in any one or more of the industries mention in Schedule I of the Act or any activity notified by Central Government
- Whose number of Employees goes up to 20 or more persons.
- Cinema Theatres employing 5 or more persons.
Document required for establishment registration under PF
- PAN in the name of organization
- List of activity to which act applies
- Consent letter of majority employees in case of voluntary registration of establishment
- Address proof of Establishment –any latest utility bill
- Date of setup organization, when the establishment was started
- Proof of date of setup of establishment
- Factory details if establishment is factory
- Details of annual Turn Over for Financial year
- License Details in case of cooperative society
- Details of owner like father’s Name, Address, email-id, mobile number which is required to be filed in Form-5A

Lease Deed if the establishment is on lease
- Bank details of employers required to be uploaded in PDF after digitally signed.
- Branch details incase if the establishment has one or more branches
- Specimen signature of director who will act as owner for registration.
Post Submission Activities
Now once you get establishment code number, you do not require submitting any document physically. The user-id and password will be intimated through SMS to his mobile number and registered email-id. It is also available under Employer Login.
